What information do we have?

Clients

We collect personal and contact information on you and your company or organisation, including the names of our contacts, their email addresses and telephone numbers. We occasionally collect survey/ market consultation information and may also collect details of attendance at YORhub events, e.g. annual conference.

As YORhub takes payment directly from the framework supplier, no financial information on our clients is held bar that relating directly to projects (tender values etc.).

Framework Suppliers

We collect personal and contact information on you and your company or organisation, including the names of our contacts, their email addresses and telephone numbers. We collect bank details, transactions and financial information (for invoicing, accounting purposes only). We occasionally collect survey/ market consultation information and may also collect details of attendance at YORhub events.

Framework suppliers are procured through YORtender. Information submitted at tender stage will be stored on that system and the Council’s network. See the YORtender privacy notice for full details.

Applicants to a YORhub framework

We collect information from applicants to YORhub frameworks. Successful applicants should refer to ‘Framework Supplier’ information in this privacy notice. For those who were unsuccessful, contact details and any other information submitted to YORtender will be stored on that system and the Council’s network. Sub-contractors

We collect personal and contact information on you and your company or organisation, including names of our contact, their email address, telephone number and business address. We may also collect details of attendance at YORhub Supply Chain events, including Meet the Buyer and training events.

YORhub does not collect financial information on/ for members of the Supply Chain Engagement Programme.

Participants in video/photo shoots

From time to time, we conduct video and/or photo shoots. We may collect personal data from participants in these shoots in the form of names, addresses and contact details, alongside their consent for us to use their image and any photographs or video footage they appear in for the marketing or communications purposes outlined in relevant consent forms.

 

How do we get the information?

Clients

This data is collected from direct communication with the YORhub framework managers, through emails, phone calls, our website contact forms or attendance at a YORhub framework event.

Framework Suppliers

This information is initially collected during the framework procurement process, and any updated information is acquired through direct communication with the YORhub framework managers by email, telephone or website contact forms.

Sub-contractors

Information is submitted by an organisation or individual when joining our supply chain engagement programme on members.yorhub.com (YORhub members’ site). Information may also be submitted through Eventbrite (or equivalent) should your organisation register to attend a YORhub Supply Chain event. See the Eventbrite privacy policy.

 

Why do we collect this information?

Clients

To fulfil a contract (an order and/or associated work), manage the YORhub frameworks or because we believe you have a legitimate interest in our products or services and we want to market them to you. We might also use the information to profile you in order to make more specific offers to you or to market to you.

Framework Suppliers

Your information is used to manage the YORhub frameworks and fulfil YORhub contracts.

Sub-contractors

Our Supply Chain Engagement Programme (SCEP) can help any business interested in supplying construction services or goods to our frameworks. It seeks to connect our framework suppliers with sub-contractors across our region to contact them to assist with YORhub projects.

We also hold training events for sub-contractors. These events are designed to assist sub-contractors in key areas, e.g. tendering, to help them win work through our supply chain engagement programme YORscep and beyond.

 

What we do with the information

YORhub is jointly run by four local authorities: East Riding of Yorkshire Council, Sheffield City Council, Leeds City Council and North Yorkshire Council. Information collected by YORhub is shared between member authorities to the extent required to manage the YORhub frameworks.

Social Media

You can also engage with us on our social media platforms. We use Twitter and LinkedIn. There we may post about YORhub projects and your organisation to promote the frameworks and the framework suppliers. If you send us a message on these platforms, the data will be stored by the services themselves. The privacy policies for these platforms can be found on Twitter and LinkedIn.

Surveys and consultations

From time to time, we conduct surveys and consultations to understand client and contractor behaviours, opinions and attitudes.

We use SurveyMonkey as a third-party service when conducting these services. See SurveyMonkey’s privacy policy.

Any quantitative or qualitative data from our surveys or consultations that we then share with our clients or third parties is anonymous, and no personally identifiable information is shared.

Clients

We will contact you to discuss your project(s), provide procurement advice and request performance updates during the contract and at the end. We may also contact you regarding YORhub events, promotions or marketing materials we believe will be of interest to you. Should you decide you no longer wish to receive these you can opt out at any time by contacting YORhub at [email protected]; however we may retain contact information relating to previous communications.

As an intermediary, we may need to share client contact information with our framework suppliers in order to fulfil our contract with you.

Framework Suppliers

We will contact you to discuss your project(s), provide advice and request performance updates during the contract and at the end. We will also contact you regarding YORhub events which we require you to attend.

As an intermediary, we may need to share framework supplier contact information with our clients in relation to YORhub projects.

Sub-contractors

We may contact you regarding YORhub events, promotions or marketing materials we believe will be of interest to you.

As an intermediary, we may share sub-contractor contact information with our framework suppliers. This enables framework suppliers to contact sub-contractors about potential work packages.

 

How we store your information

Where will we keep it?

This data will be kept on our server and local hardware plus on secure cloud services hosted within the EU. This includes CRM software, backup discs, email software, accounting software (framework suppliers only) and website CMS.

This data will be stored by the five member authorities when shared between them.

How long will we keep it?

Your data protection rights

You have the right to erasure, the right to correction, the right to port data, and the right to make subject access requests. You can also withdraw consent at any time.
